How I Chose The Best AI Note Taking App for Meetings in 2026?

AI note-taking apps for meetings have become a must-have in 2026. I found many meeting assistants, free and paid, during my search. Honestly, not all of them are worth your time or money.

I always prefer to explore free tools that offer features comparable to premium apps. This helped me narrow down the list. Further, I tested each app based on the following criteria:

  • Core features available for free
  • Transcription quality and accuracy
  • Support for global accents and languages
  • AI features that automate the note-taking process
  • Usefulness of AI-generated summaries and write-ups
  • Ease of use, including setup time and interface design
  • Collaboration features and integrations
  • Privacy standards and bot-free operation

After evaluating all these aspects, I finally shortlisted 9 AI note-taking apps for meetings that are feature-rich and completely free to use.

If you’re looking for an easy-to-use AI-powered note-taking app for meetings, Otter.ai is a must-try. The app first entered the market in 2018. In February 2023, it introduced its AI meeting agent called OtterPilot.

best ai meeting assistants - Otter AI

Whenever you join a meeting, the AI bot automatically transcribes the conversation in real time. OtterPilot can join the meeting, respond to queries, and complete post-meeting tasks. The live transcription quality is impressive.

Otter AI TranscriptionsOtter AI Transcriptions

While it doesn’t auto-detect speaker names, you can manually edit both the transcription and assign speaker labels. The transcription is available for free download in text format with speaker names and timestamps.

Otter AI SummaryOtter AI Summary

After the transcription is generated, Otter.ai summarizes the meeting and action items in a checklist format. I also tried generating an outline for detailed meeting notes. Otter’s AI-generated outline is more structured and useful than Krisp’s.

Otter AI ChatOtter AI Chat

A standout feature is the Otter AI Chat, which is available even on the free plan. You can ask questions about past or recent meetings. When I asked for key insights, it gave me a concise numbered list. The content is Straight to the Point without unnecessary fluff.

Otter AI Email GeneratorOtter AI Email Generator

Using Otter AI Chat, I also drafted a follow-up email. It can handle reasoning-based queries, such as problem-solution discussions. I found the feature especially useful for quick interview responses.

Pricing

With Otter AI’s free plan, you can access 300 minutes of monthly transcription, a 30-minute limit per conversation, 3 imports for a lifetime, 20 AI chats per user, etc. Its Pro plan is suitable for small teams and costs around $100/year ($8.33/month). It offers 1200 monthly transcription minutes, 10 audio & video files imports per month, Adjustable playback speeds, advanced features, and more.

Limitations

  • UI feels outdated compared to modern tools
  • Only 3 file imports are available on the free plan (lifetime limit)
  • AI transcription is available only in English, French, or Spanish

Who Should Use

  • Educators and Job seekers who need real-time notes
  • Consultants working with multiple clients who benefit from automated meeting assistants

2. Krisp: Best for AI-Powered Noise Cancellation and Accent Conversion

Rating G2 review – 4.7/5

Maximum file size 1 GB
Integration  Slack, HubSpot, Microsoft Teams

Krisp, was founded by David Baghdasaryan and Artavazd Minasyan. The app was launched in 2017. It’s the only paid tool I’ve included due to its accurate AI notes and summaries, exceptional noise cancellation and accent conversion, support for unlimited meeting uploads, and overall user-friendly experience.

Krisp UIKrisp UI

The app transcribes your meetings. You can choose from 16 supported languages: English, French, Dutch, Italian, German, etc. The transcription accuracy is high, and it correctly labels multiple speakers when I upload my meeting file.

Krisp TranscriptionsKrisp Transcriptions

When I clicked on Summarize, Krisp AI Note Taker provided me with key meeting highlights under the Notes section. You can also instantly generate action items. The tool offers preset templates to help with note creation.

Krisp AI Meeting NotesKrisp AI Meeting Notes

For example, I used the Outline Generator to create a structured format for detailed meeting notes. It suggested relevant sections and bullet points to cover. These notes can be downloaded and shared.  AI chat is also available during the free trial.

Krisp AI Meeting NotesKrisp AI Meeting Notes

If you’re a remote worker, it’s often difficult to maintain complete silence with family members in nearby rooms. Krisp’s AI-powered noise cancellation filters out unwanted sounds in real time, removes background echoes, and enhances voice.

For non-native English speakers, Krisp AI has introduced an amazing feature called Accent Conversion. This AI-powered tool helps refine your accent in real time so your speech becomes clearer and easier for local listeners to understand. It is useful for improving Indian, Latin American, Filipino, and African English accents.

Pricing

Krisp is a paid tool, but it offers a 7-day free trial with full access to all premium features in the Business Plan. No credit card is required. Krisp Business plan offers unlimited transcription and audio recording, unlimited noise cancellation, 4 hours of daily accent conversion, 30 GB of cloud storage, unlimited workspace members, and more.

Once the free trial ends, the Business plan will cost $15/month if billed annually. For more affordable options, you can try Krisp Pro at $96 per year (billed at $8/month).

In my tests, it accurately detected multiple speakers from pre-recorded files. It doesn’t auto-label speaker names. That said, the transcription quality was accurate. But you can’t view a full transcription with a free account

The app also generates structured meeting notes, including a summary, chapters, and action items. One unique feature is the AI-generated mind map. You can edit and download it for free.

Notta Mind MapsNotta Mind Maps

Notta offers domain-specific templates for meeting notes. For instance, I used a template designed for users with an IT and engineering background. It provided problems & pain points, goals & expectations, usage scenarios, and feature evaluations. The quality was excellent, and I could copy and use the content as-is.

Notta AI Note TemplatesNotta AI Note Templates

Fireflies AI UIFireflies AI UI

Whenever you join meetings live or upload recordings, Fireflies quickly provide transcriptions. In my case, the transcription included speaker labels and timestamps. But the speaker detection wasn’t accurate. It misidentified three speakers when there were only two.

Fireflies AI TranscriptionsFireflies AI Transcriptions

On the left panel, the Smart Search Dashboard offers a powerful interface for analyzing meeting data. AI filters highlight key questions, tasks, and metrics mentioned during the meeting. These advanced insights are available in the Pro version only. It also provides sentiment analysis and speaker talk time. So, I can evaluate the tone and contributions of each participant.

Fireflies AI Smart Search DashboardFireflies AI Smart Search Dashboard

Fireflies also generate meeting overviews, action items, and highlight notes, summarizing the key discussion points. We can use the AI Apps with preset prompts to quickly draft content like follow-up emails. With the Index button, you can scroll through key sections in just one click.

Fireflies AI AI AppsFireflies AI AI Apps

Two standout features are AskFred AI and Magic Soundbite. AskFred is an AI chat tool that allows you to ask questions about your meetings. For example, I asked it to summarize user feedback related to compliance management, and it provided clear, concise responses.

5. Tactiq.io: Best for Chrome-Based, Real-Time Transcription

Rating G2 review – 4.3/5
Import file type  vtt, txt, pdf, docx, odt, pptx, xslx, ods, odp, rtf, m4a, mp3, mp4, mov
Maximum file size 2 GB
Integration  Drive, Notion, Google Meet, HubSpot

Tactiq.io was launched in 2020 by Nick Nikolaiev and Ksenia Svechnikova. This AI meeting assistant simplifies the note-taking process with its advanced AI-powered features. Real-time transcription within your browser requires only the Chrome extension installation.

Tactiq UITactiq UI

One of Tactiq’s biggest advantages is that it offers a bot-free experience and does not record your meetings. The meeting dashboard is packed with features. It allows you to manually take notes, add comments, and even access all the screenshots or screen recordings you captured during the meeting.

Tactiq Meeting DashboardTactiq Meeting Dashboard

AI Workflow in Tactiq simplifies post-meeting tasks. You can extract meeting insights and share them across platforms without switching apps. For example, I used the “Save AI Meeting Summary in GDrive” option. After connecting my Google Drive account, I clicked “Run,” selected the meeting recording, and the tool automatically saved a summary file, including the date, participant names, and a link to the transcription.

Tactiq AI WorkflowTactiq AI Workflow

However, Tactiq takes some time to process and provide transcriptions for uploaded recordings (this delay doesn’t apply to live meetings with real-time transcription). In my test, it also failed to detect multiple speakers. It generated a single, time-stamped transcript without labeling individual speakers, as shown in the Speaker Stats section.

Tactiq TranscriptionTactiq Transcription

Once the transcription is ready, Tactiq offers built-in AI tools with preset prompts to help you generate quick summaries and action items. I also used Tactiq’s AI tools to draft a summary email.

Tactiq AI ToolsTactiq AI Tools

The output was accurate and well-structured, complete with a subject line and greetings. The email was ready to copy and paste directly into Gmail. Best of all, you can export the full transcript and AI-generated summaries in .txt, .doc, or .pdf formats.

Pricing

Tactiq’s free plan includes 10 transcripts/month, 5 AI credits/month, AI Workflow, etc. It allows integrations with Google Drive, Notion, and Microsoft Teams for easier collaboration. If you need more features like unlimited transcriptions, 10+ AI credits/month, and better automation, the Pro plan is available at $96/year ($8/month) per user.

Limitations

  • Meeting transcriptions can be slow to process
  • Unable to detect or label multiple speakers
  • Monthly AI credits (free and paid plan) may not be enough for busy professionals
  • No mobile or desktop app available

Who Should Use

  • Chrome-only users looking for live transcription and easy export
  • Busy professionals who need instant summaries and emails using preset AI prompts

6. Sonnet AI: Best Mac-Only App for Structured Meeting Notes

Rating G2 review – 4.3/5
Import file type  mp3, aac, m4a, flac, wav, wma
Maximum file size 200 MB audio
Integration  Slack, Google Meet, Microsoft Teams, Zoom

If you’re a MacBook user, Sonnet AI is a meeting assistant, you should definitely try. The app is extremely easy to use and free for all users. Its AI-powered features, like auto-topic sections and structured notes, help you stay productive.

Sonnet AI UISonnet AI UI

Sonnet AI automates your entire meeting workflow, from planning to joining the call, and finally, generating meeting insights. Before any meeting, you can view participant backgrounds and use the Upcoming Events calendar to schedule and receive reminders so you never miss a call.

Sonnet AI TranscriptionsSonnet AI Transcriptions

During meetings, Sonnet records audio only (not video). You can also upload meeting audio files to generate transcriptions. While the transcription accuracy was impressive, I was disappointed with the output formatting. It doesn’t detect multiple speakers or provide time-stamped segments for each.

Sonnet AI Meeting NotesSonnet AI Meeting Notes

What impressed me the most? The Notes section—it’s excellent. Sonnet automatically categorizes meeting notes into Overview, Key Topics, Questions, Action Items, and Key Takeaways.

Sonnet AI Note TemplatesSonnet AI Note Templates

The Key Topics section is especially well-structured in a table format, showing talking points, summaries, and resolutions. You can also take manual notes using pre-built templates like Team Sync, Sales, Customer Interview, Pitch, and more.

Pricing

Sonnet AI’s free plan offers 5 recordings per month with a 30-minute limit per recording, 3 insight generations per call, and 2 months of storage. There are three additional paid plans: Plus, Pro, and Enterprise. The Sonnet AI Plus plan includes 40 recordings per month, a 90-minute recording limit, 6 months of storage, and more, priced at $180/year ($15/month, billed annually).

Limitations

  • Available only for MacBook users
  • Transcription formatting is limited and lacks speaker detection
  • No AI-generated notes beyond the default structure
  • No support for video conferencing uploads

Who Should Use

  • UX researchers & consultants looking for key takeaways and questions
  • MacBook beginners seeking an easy-to-use tool for organized note-taking

7. Fellow: Best for Security & Manual Note-Taking

Rating G2 review – 4.7/5
Import file type  m4a, wav, mp3, mp4
Maximum file size 200 MB audio and 1.5 GB video
Integration  Google Meet, Microsoft Teams, Zoom

If you’re looking for an AI-powered meeting assistant that takes user data privacy seriously, Fellow is a good choice. It was launched in 2017 and follows security measures, including GDPR compliance, AES 256-bit encryption, SOC 2 Type II compliance, etc.

Fellow UIFellow UI

You can use Fellow via its desktop app. Personally, I found the interface a bit complex for beginners. At the top, there’s a “+” icon to join meetings or upload files. Once you upload or join, it takes a few minutes to generate the transcription.

Fellow transcriptionFellow transcription

The transcription accuracy was good. But it incorrectly detected three speakers and failed to label their names. Plus, there’s no option to manually edit speaker names or the transcription. That said, Fellow automatically generates a summary, action items, and decisions under the Highlights section.

Fellow AI RecapFellow AI Recap

You can also track participant attendance from the Speaker Stats. It correctly noted each join and leave time. I also received individual speaker talk time and percentage of presence.

Fellow Meeting StatsFellow Meeting Stats

Fellow’s Note section allows for manual note-taking with formatting tools like bullets, subheadings, and more. This is especially helpful for teams who prefer structure over automation.

Ask Fellow OutputAsk Fellow Output

At the bottom of the meeting dashboard, you’ll find the “Ask Fellow” button. I used it to generate a follow-up email. The output was well-structured, complete with a subject line and greeting. You can copy the content directly and export the meeting assets as a video (MP4), transcript (TXT), or AI recap (TXT).

Pricing

For free users, Fellow offers 5 AI meeting notes per user, 5 AI recordings per user, and 5 audio/video imports. To unlock unlimited AI recordings and notes, along with 50 imports per user per month, the Solo plan costs approximately $228 annually ($19/month, billed annually).

Limitations

  • Dashboard can be slow to load
  • UI may feel overwhelming for first-time users
  • No option to edit transcription or label speaker names
  • All free features are limited to one-time use only

Who Should Use

  • Team leads & managers for manual note-taking
  • Product teams running 1:1s or weekly reviews for participation stats

8. MeetGeek: Best for Meeting Insights

Rating G2 review – 4.6/5
Import file type  mp4, wav mp3
Maximum file size 2 hours per recording
Integration  Microsoft Teams, Zoom, Google Meet, Slack

Similar to Tactiq.io, MeetGeek is another Chrome-based AI meeting assistant. It’s also accessible via iOS and Android apps, Slack, and a Meeting Bot API.

MeetGeek UIMeetGeek UI

Whenever you join a meeting, MeetGeek automatically connects. You can also upload past recordings under the Upload section. It generates call transcriptions within a few minutes. The accuracy was moderate, but I got time-stamped transcripts.

MeetGeek TranscriptionMeetGeek Transcription

On the right panel, MeetGeek displays meeting highlights segmented by timeline. Under the Summary section, I received detailed information on the meeting recap, Next Steps, and AI Insights. However, I noticed that some highlights and topics were repeated.

MeetGeek Summary & HighlightsMeetGeek Summary & Highlights

What stood out most to me were Meeting Insights. Although Fireflies and Fellow offer similar features, MeetGeek’s insights are far more detailed. It includes Speaker Distribution (talk time, words per minute) and Most Popular Themes presented in color-coded blocks. It also gives feedback on agenda follow-through, participation, sentiment, engagement, and a Meeting Productivity Score.

MeetGeek Meeting InsightsMeetGeek Meeting Insights

Last, the Context section displays AI-generated agendas. You can manually set your calendar agenda as well. A basic notepad is available for jotting down key points manually.

MeetGeek Context SectionMeetGeek Context Section

From the main dashboard, you can access AI Chat to find key decisions, customer quotes, or get coaching feedback from previous calls. I used it to draft a follow-up email, but the output was fairly basic compared to other apps.

Pricing

MeetGeek’s free plan includes 3 hours of transcription per month, 3 Months of transcript storage, 1 month of audio storage, and a 2-hour recording limit. For advanced meeting automation, the Pro plan is available at $180 annually ($15/month) per user. This plan offers 20 hours of transcription per month, 1 year of transcript storage, 6 months of video storage, and more.

Limitations

  • UI feels basic and cluttered
  • No download option available
  • Very limited monthly transcription quota
  • AI-generated content (follow-up emails) lacks professional quality

Who Should Use

  • Project managers handling recurring meetings for detailed meeting feedback
  • Small teams and HRs setting calendar agendas

9. Tl;dv: Best for Unlimited Recordings and Transcriptions

Rating G2 review – 4.7/5

Maximum file size Not mentioned
Integration  Slack, Email, Calendar

The last AI meeting assistant I’d recommend is tl;dv. It’s especially useful, as it offers unlimited transcriptions, meeting recordings, and AI summaries for free. However, users may have to deal with a slow-loading app and a bit of a learning curve.

tl_dv UItl_dv UI

tl;dv opens with a clean dashboard where you can access all your meeting files. On the top right, under Manage Uploads, you can import past meeting recordings. The app takes a generous amount of time to process and generate transcripts. Like the Fellow app, transcriptions and speaker names cannot be edited.
